IP Office Further Overview

IP Office phone systems are made by Avaya. Avaya is a spin off from the former AT&T companies that made such great phone systems as the Merlin classic, Legend and Partner phone systems. The IP Office is a modular phone system by design. It is designed to be built and purchased as needed. To that end, a level of expertise in engineering is needed.

The IP Office is also designed to meet the needs of businesses as small as to be based from a home to businesses with several networked locations to medium enterprises. The IP office is an award winning phone system, packed with useable features and is a complete solution for telephones, messaging, networking, conferencing, customer management and unified communications.

The IP Office phone system addresses all of the basic needs that anyone could ever desire from a phone system. It also leverages the built in convergence of digital phone systems and IP phone systems. It further capitalizes on some very robust unified applications that can deliver some very intelligent communications to the phone systems users and the business owners customers.

IP Office is a small office platform that keeps things simple. It simplifies user processes and streamlines information within systems and between systems and creates a simple and effective base for communication.

The IP Office phone system supports a wide array of telephones, although the 5400 series digital phones and the 5600 series IP phones recommended. These phones have been specifically designed to work with the IP office phone systems and provide an excellent choice of no nonsense desktop phones. These phones are also quite hardy.

Further Description

The IP Office phone systems consist of three main phone systems. The IP Office 500, IP Office 406 and the IP Office 412. The IP Office 500 and 412 are current productions but never be fooled by the power of the IP 406, which are available used at great prices and are comparable to the IP Office 500.

Each IP Office phone system can be used as a traditional digital phone system and use traditional analog trunking. They may also be used an IP server using IP phones, ISDN and PRI connections and they may also be used with SIP trunks, a hot new topic.

The IP Office 500 and 406 can be scaled to 272 telephones and support up to 8 T1 or PRI Trunks. The IP Office 412 can support up to 350 telephones but only 4 T1 or PRI Trunks. SIP trunks are supported on the IP 500 and the IP 412 only.

IP Office 412
Will support 12 expansion modules. Provides a combination of up to 360 analog, digital and IP phones.

IP Office 500
Supports 8 expansion modules. Provides a combination of up to 272 analog, digital and IP phones.

IP Office 406 (refurbished)
The IP Office 406 is a great alternative to the IP Office 500. It is the version that was available immediately prior to the release of the office 500.

The Avaya IP Office phone systems will support a very comprehensive set of tools. Manager will allow easy administration of all IP office phone systems on a given network. Call Tracking is supported through SMDR. The system can be monitored and diagnostics applied in real time with the System Status Application. Users can manipulate their own calls through a simple GUI titled Phone Manager. Phone Manager can be enhanced through licenses and will also support IP Softphones.

If desired, additional applications for the IP office are available such as

  • The Synchronizing of voice mail messages with an email inbox.
  • Scheduling Conference Calls
  • Uploading documents for real time viewing
  • Managing audio privileges for conference calls
  • Using agent reporting and wallboards in call center environments.

The Auto Attendant application will let calling parties route their phone call to exact department or person they desire without a receptionist. If you do have a receptionist, that employee can take advantage of the Avaya Soft Console GUI application which allow that person see all calls and phone status system wide on her computer screen.

TAPI is also available which will support applications like Microsoft Outlook and other desktop programs that do screen pops and such.

Further Features

Avaya has built some very sophisticated features into IP office for small business. An important advantage of the IP Office phone system is Unified Communications.

Unified Communications is a suite of applications such as:

  • Can turn a home phone into an IP Office telephone with"Phone Manager Pro" application.
  • Unified Communications can enable a mobile device or cell phone to ring simultaneously when a call arrives at your IP Office Telephone.
  • The mobile user can place calls on hold, transfer calls, swap calls or create a conference call.
  • Downloads software for mobile devices such as Windows Mobile 5 or 6 and such. This will enable the a mobile device to make and receive calls through the IP Office systems, keeping your mobile number private.
  • Remote workers can use software to turn remote IP hard phones into virtual extensions of the IP office phone system without the need for a VPN gateway.
Unified communications is a development that is all about letting users communicate where and when they want to while using the most appropriate device at that time. This can help a small business stay in touch and stay responsive. You may also recruit and retain talent anywhere. You are no longer confined to your geographical region.

CONFERECING

The AVAYA IP Office has a very powerful and capable conferencing application. These applications can provide a private conference bridge for holding conference calls with large numbers of people. The IP Office phone system will support two conference at the same time with as many as 64 callers in each. What's more, the conference bridge has a meet me feature, where you give your callers a PIN number. The conferencing application will also add management through a Scheduler component and audio control for the host through the Web Client component. The Scheduler enables a conference to be established. It will also e-mail invitations or it can be set up ad hoc. The Web Client will enable the host to upload and publish documents / presentations for real time viewing. The Web Client interface allows the Host to manage who can Speak and Listen privileges or who can Listen only. Through the Client interface the Host can whisper to any individual. Participants can also send messages using the web chat functionality privately to the Host or to all participants.

Your employees can cost effectively conduct meetings and spontaneously collaborate, share information and make decisions creating more effective work practices leading to shorter project times and increased employee productivity. The Meet-me Conference Bridge can lower conferencing costs by reducing the need for third-party conferencing service providers.

Messaging

IP Office has a different options for messaging, each designed to meet different growing business needs. Voicemail LITE, Embedded Voicemail and Voicemail Pro offer auto attendant, Voicemail, Unified Messaging,

Email Reading, Fax Routing, Integrated Voice Response (or IVR), Text To Speech, Centralized Voicemail and Networked Messaging.

Voicemail itself will provide individual mailboxes with a personal greeting for each employee and will allow callers to leave messages in this box. these messages can be retrieved either on site or off site. You may also have those messages forwarded to an email account.

NETWORKING

"Small Community Networking" is what is used to link multiple IP Office phone systems together via standard networking protocols. When this is done, these phone systems are transparent and can use centralized voicemail.

Small businesses can then extend capabilities to numerous remote locations, with or without local dial tone at each.

PHONE MANAGER

Phone Manager is a desktop application. It is available in three formats, Phone Manager LITE, Phone Manager PRO and Phone Manager PRO PC Softphone (VoiP Mode)

The Phone Manager application will allow a user to control their telephone from the PC. LITE and PRO versions are for users who wish to control features of their phone like making or receiving calls, setting up a conference call, using speed dials and so forth from their PC.

Phone Manager PRO can be placed into "telecommuter mode" allowing a user all call control of their IP Office extension while providing a talk path to an external number, such as a home number or a call phone number.

Phone Manager PC PRO Softphone is installed on a laptop and with a high speed internet connection you laptop can now act as your IP Office Extension.

Phone Manager application simplifies life with enhanced capabilities like a Busy Lamp Field and Speed Dials. The Busy Lamp Field will show you who is currently using their telephone, who is available, who is away or on do not disturb and so forth.

Phone Manager will also maintain a call history of all calls made and received. It will keep records of call duration, including hold times.

SOFTCONSOLE

The Avaya IP Office SoftConsole application is a Windows PC Based Operators Console. It works in conjunction with a desktop telephone. Commands and actions are available through menus. Your operator will see all call details including the Caller ID information, call status, call duration, who is available, who is in use, notes and so forth. All held and parked calls will be right on this employees computer screen, park slots, call history and more.

The softconsole is a powerful tool to simplify call handling and to allow your operator to present a much more professional image to callers. The operator may also personalize the look, feel and layout of the Softconsole

COMPUTER TELEPHONY INTEGRATION (CTI)

CTI is used to access information

in company databases during phone calls. Information from your database can automatically pop up on your computer screen via screen-pop when a customer calls. You may also control your phone through a familiar GUI. CTI is based on current and past standards which supports Windows applications.

With CTI, IP Office can improve your productivity by combing telephone functions and computer functions in one easy to use GUI.

IP OFFICE MANAGER ADMINISTRATION

IP Office can be 100% managed from "Manager". Manager is a system administration tool installed on a Windows PC. It provides a graphical user interface for intuitive installation, configuration and adds, moves and changes.

Manger is multi-lingual and can be used both locally and remotely. Language setting can be set on a per user basis and all IP Offices on the network can be managed from any single location. User definable rights and passwords keeps your IP Office phone system safe and protected.

REMOTE HOT DESKING

Hot Desking is used so that a user on any IP Office system on your network can log into any telephone on any other IP Office system in your network as if that we their telephone.

A user can make, receive calls from IP Office location as if they were sitting at their normal desk. This will allow a single number or auto attendant selection to always reach an employee no matter where he or she is within your organization.

SIP TRUNKS

SIP allows IP trunks to be delivered directly to the IP Office phone system. This new IP telephony technology can offer substantial savings in comparison to normal copper based trunks or PRI services. With an IP Office system, users can make and receive telephone calls directly on their internet connection and they are handled just like any other type of trunk. Service from a SIP trunk provider of course is needed, such as BroadVox.
